What is ARIES?
ARIES is a client-level data system that has been adopted by the Texas Department of State Health Services to track services, clinical indicators, and psychosocial treatment provided to people living with HIV in order to meet the requirements set forth in the Ryan White Treatment and Modernization Act (RW Act).

Why, if it is a state system, does The Resource Group require its federally-funded projects to enter data into ARIES?
In order to comply with the RW Act requirement to provide information to the State of Texas, The Resource Group has adopted ARIES as the client-level data system for its Part C and Part D Networks as well as state-funded services.

How do I get on ARIES?
ARIES access requires a security certificate which is issued by the Certificate Server in Austin, with prior approval from The Resource Group. The certificate process is outlined here and must be completed in these steps each time a certificate is requested or in the case of an expired certificate, re-requested. The Certificate Request Form must be completed by the requestor or representative and emailed back to The Resource Group. The Certificate Server does not support Windows Vista at this time. If you would like to delete an old certificate to tidy up your list, the instructions for doing so are here. Please be careful deleting old certificates as an error will cause you to re-request your certificate and begin the process anew.

How do I delete my old certificate so I don't make a mistake with my signon?
It is easy to remove an old or expired certificate, but be careful you do not delete the current certificate. The delete instructions are here.

How do I determine the 14 character code for ARIES?
The code is composed of the first and third letters of the first name, the first and third letters of the last name, the birth date in the form of MMDDYY, the birth gender 1=Male; 2=Female, the middle initial, and the first and third letters for the Mother’s Maiden Name.

Would be for a woman named AnN PiM, born on January 1, 1988, with a middle initial of M whose mother’s maiden name is BoTticelli.


What if I get a duplicate client error in ARIES?
Please email Clay Allison at callison@hivresourcegroup.org with the 14 character code you are attempting to use. Clay will research the client and give you a response. Do not send the client name in an email.

What if I forget my password or I try to sign on more than three times and can't get on ARIES?
Please email Clay at callison@hivresourcegroup.org or Jim at jwillis@hivresourcegroup.org requesting to have your password reset. We will reset your password to a generic offering and email you back when it is complete.


What is the best and fastest way to contact someone to help me with ARIES?

What if I feel I need training in ARIES?
Start by downloading the Required Fields Document Then if you have more questions, please email Clay at callison@hivresourcegroup.org and outline the exact nature of your training needs that we may tailor a workshop especially for your needs. Please include three dates you would like to have the training, when there will be as few interruptions as possible. You must have a valid ARIES certificate installed and working on the computer where the training will take place. This must be completed prior to the training.


When should I create an ARIES client record?
Since any person living with HIV is a potential client of state-funded services, all persons living with HIV that are served (including HIV-positive family members for Part D service providers) should have an ARIES client record generated.


What considerations should I take when creating a new client?

With the advent of Client Level Data Reporting in 2009, there are new constraints when entering client names.

 1. The third character of a name cannot contain a special character such as a space, an apostrophe, or a hyphen such as:
      De'Angelo becomes DeAngelo
      La Fontane becomes LaFontane
      Bo-Dido becomes BoDido

 2. A full last name may be hyphenated if it appears on the ID as hyphenated, but the hyphen may not be the third character such as:
      Soliz-Garza
      (In this case, the last name used must be communicated to another agency when trying to share this client.The agency receiveing the referral may try one or the other but not both last names)

 3. If there is no middle initial then leave it blank.

 4. If you receive an error about a duplicate client in ARIES, email the 14 character code to Clay Allison at callison@hivresourcegroup.org



Is there an easier way to enter CD4 and Viral Load data?
YES. There is now a Lab Batch Data Entry screen on your Agency tab. You may access this very handy feature by opening this PDF, saving it to your computer and/or printing it. This is based on the idea you have entered your Agency ID on the Agency Specifics tab under Demographics. By using the Agency ID, entry of CD4 and Viral Load lab data will be accurate and much faster than on the Medical Tab on each client screen.


How can I improve my HAB Group 1 QM Indicators?
There are many ways to be certain the Group 1 Indicators are the best they can be. We have prepared a document to help you trouble shoot those clients who may fall short of the measure. You may download this document by right clicking here and doing a "Save Target As" or on the previous page.


How can I get a client name changed after it is entered?
If you accidentally entered a name in ARIES incorrectly, or a client gets married, or you notice a capitolization error, you may request the name be changed. HIPAA guidelines prevent you from emailing a reference to the client by name. There is an easy way to do that simply follow the instructions outlined in this PDF and all will be well.
